Agency Responsibilities

In General
You must be honest and professional, have a valid broker's license and maintain errors & omissions insurance.

Applications
Use ACORD applications. Sometimes companies require a special application or supplement for a certain program or line of business. In those cases we will provide you with what is needed. Many are on our web site and most can be edited on-line. Complete and legible helps a lot.

Quotes
When you provide us with a complete application we'll send you a written quote, usually good for 30 days. Premium indications provided over the phone or by email are just that - indications - and are subject to our review of a completed application.

Binding
You have no authority to bind any coverage. We retain all binding authority. We can almost always effect coverage immediately for risks we have quoted. There may be an occasional exception with brokerage markets when we must get confirmation from the company. You can order coverage by email fax or phone. Telephone orders must be confirmed in writing. Orders left on voice-mail are never acceptable.

Money
In most cases, 25% of the premium plus any fees is required to bind coverage. With contract business, where we have in-house binding authority, the balance, less your commission, is due in our office by the 15th of the following month. Business placed with brokerage markets, usually will have shorter payment terms. This will be disclosed with the quote. An invoice will accompany all premium transactions. We will send you a statement on the last day of the month recapping that month's invoices. Premium financing is subject to our approval, and payments should be sent to us. Policies with fully-earned premiums cannot be financed. You are responsible for payment to us, whether or not you have collected from your client.

Cancellations
No flat cancellations after inception date. Policies are subject to minimum earned premiums. Short-term policies are usually fully-earned. Policy fees and inspection fees are fully earned. Return premium is subject to final audit where applicable.

Claims
Report claims to us immediately via ACORD form. We take action the same day received. You do not have authority to assign to adjusters. Provide names and phone numbers of claimants and contact persons. Forward summons, etc. to us immediately, telling us the date served. Please don't report claims to us by phone. That means two of us, instead of one, taking the time to fill out the loss report. Some carriers are set up to take claim reports directly from you or your client.
